Job Opening at Jepson Hebarium
After more than 12 years of working with us at the Jepson Herbarium, Edith Summers will be retiring in mid-July.
Edith has been an essential member of our team and we couldn’t operate the workshop program, manage theFriends fo the Jepson Herbarium, or publish theGlobewith our her.
We are now looking for just the right person to join us in the office. The position is 50% time and the days of the week and hours of the day can be flexible. The incumbent will also be eligible for benefits.

Departmental Overview
|
|
The Jepson Herbarium focuses on the plants of California, offers up to 25 public workshops per year, and maintains an active membership program. The successful candidate will provide administrative support to two programs of the Jepson Herbarium (1) The Jepson Herbarium Workshop program and (2) The Friends of the Jepson Herbarium (membership program) by maintaining two databases, multiple spreadsheets, corresponding with members and participants, and processing workshop enrollments and gifts to the various gift funds of the Herbaria. The administrative assistant is also responsible for creating the layout for the newsletter and assisting with the development of the mailing list.

Responsibilities
|
|
• Processing workshop enrollments and membership renewals including database entry and updating records; generating reports from databases; creating letters, acknowledgements, and mail files as needed; completing all deposit transactions in compliance with campus guidelines. Keep detailed spreadsheets of all deposits.
• Design the Jepson Globe (newsletter) using InDesign and edit photos in Photoshop for optimized color printing. Manage mailing list and work with printer and mail house to complete newsletter and two annual solicitation mailings.
• Assist with the preparation of material for all public workshops and member events including mailings, name tags, and photocopies of material to include in educational packets.
• Reception duties including processing daily mail and answering phone calls and emails. Orders office supplies; may obtain sourcing and pricing information.
• Design gift card (in InDesign) for two annual solicitations. Maintain file of photos that can be used in electronic mailings and printed materials. On an as needed basis, send copies of the Jepson Manual illustrations to vendors.

Required Qualifications
|
|
• Proficient with FileMaker Pro, MS Excel, MS Word, and Adobe Acrobat. • Attention to detail, reliability, and efficient time management. • Strong organizational skills. • Professionalism and strong writing skills. • Strong communication and interpersonal skills to communicate effectively with staff, members, and workshop participants, both verbally and in writing. • Ability to use discretion and maintain confidentiality. • Ability to handle credit cards and other sensitive information. • Ability to work independently and as a member of a team. • Apply initiative and take responsibility for a variety of administrative tasks. • Demonstrated flexibility in organization of workflow and adaptability to changing tasks.

Preferred Qualifications
|
|
• Experience with InDesign and Photoshop. • Willingness and the ability to learn new systems, procedures, and protocols. • Interest in being a key member of a small team. • Bachelor’s degree. • Interest in botany or natural history.
